Create a Purchase Request

Prerequisites

  • You have the Procurement User role or your department's requisition role
  • Items you need are available in the item master (or you can add a description for non-catalogue items)

Step-by-Step

  1. Navigate to Procurement > Purchase Request > + New.
  2. Select your Department.
  3. Set the Required By date — when you need the items.
  4. In the Items table, add each item you need:
    • Item: Select from the catalogue or type a description
    • Quantity: How many you need
    • UOM: Unit of measure
    • Estimated Rate: Approximate cost per unit (optional but helps budget planning)
  5. If budget control is enabled, select the Budget Code (WBS).
  6. Add any Notes for the procurement team (e.g., preferred supplier, urgency reason).
  7. Click Save, then Submit.

After Submission

The PR enters the approval workflow. Once approved, the procurement team converts it to an RFQ or directly to a Purchase Order.

TIP

If you need the same items regularly, you can duplicate a previous PR: open it and click Menu > Duplicate.
