Frequently Asked Questions
Q: Can I create multiple invoices against one PO? Yes. This is common for partial deliveries. Each invoice covers the quantity delivered and invoiced in that batch.
Q: The GST amount on my PI does not match the supplier's invoice. What should I do? Check the HSN/SAC code on the item — the GST rate is determined by the HSN code. Also verify that the correct tax template (In-State vs Out-of-State) is selected. If there is still a discrepancy, you can manually adjust the tax amount in the tax table.
Q: Can I change the supplier invoice number after submission? No. To change the supplier invoice number, you must amend the PI (Menu > Amend). This creates a new version.
Q: The e-invoice flag shows "Applicable" but my supplier did not provide an IRN. What should I do? Contact the supplier and request the IRN. If the supplier's turnover is below the e-invoice threshold, update the supplier master to set E-Invoice Applicable to No.
Q: Can I create a PI without a PO? Yes. Navigate to Accounting > Purchase Invoice > + New and create directly. This is common for utility bills, rent, and other non-PO expenses.
Error Messages and Solutions
"Budget exceeded for WBS code [CODE]" Same as PO — the invoice amount exceeds available budget. See PI with Budget Control.
"Supplier Invoice Number [NUMBER] already exists for Supplier [NAME]" A PI with the same supplier invoice number already exists. This prevents duplicate invoices. Check if the invoice was already entered.
"Cannot cancel: Payment Entry exists" A payment has been recorded against this invoice. Cancel the payment first, then cancel the PI.
"Supplier GSTIN is required" The supplier's GSTIN is missing. Update the supplier master with the correct GSTIN before creating the invoice.
"ITC claim restricted: Place of Supply does not match company state" Input Tax Credit may not be claimable because the Place of Supply differs from your company's registration state. Review the transaction and consult your tax advisor.
